Spring Meeting April 17th

The GCCYS will have their annual spring meeting on April 17th at 7pm at All Saints in Parish Center rooms 3, 4, and 5. This is a mandatory meeting for all member parishes and schools and at least one representative of each member organization needs to be in attendance as we will be voting on many items. An email was sent to all coordinators, athletic directors, booster presidents, etc .. on March 19th with a detailed agenda. Towards the end of the meeting, we will be splitting out into two separate groups (boys/girls basketball and girls volleyball) to discuss sport specific topics.

Boys Volleyball Season

The boys volleyball season starts on Monday, March 6th. A reminder that ref fees are $15 per team per game this year. All rosters must be submitted this week and all players must have Liability Waivers submitted online before they are eligible to play. Liability Waivers are good for the entire school year so, parents, if you filled one out for your child for basketball season, no nee to fill out another form. The league will run for 4 weeks, take two weeks off for Holy Week and Spring Break Week and then finish up with two more regular season weeks and a single elimination tournament the first week of May.

Girls Volleyball Tournament Info

Preparations are underway for the season-ending girls volleyball tournament which will take place on October 20-22. First round matches (for brackets with more than 8 teams) will be played on October 20th, quarter-final, and semi-final matches will be played on October 21st while championship matches will be played on October 22nd. Teams will be assigned to brackets and seeded based on full regular season results as of 10pm on Sunday, October 15th so coaches, please report your scores in a timely manner!

Here are a few other reminders:

  1. A tentative gym schedule will be sent to all parishes/schools by Friday, October 6th
  2. If a team does not want to participate in the tournament, the league must be notified by October 1st
  3. The tournament brackets will be available by Tuesday, October 17th at noon.
  4. Parishes/schools hosting championship games will need to pickup trophies at All Saints the week before the tournament (more info will be communicated in regards to pickup time)
  5. A team trophy will be given to the 1st and 2nd place team in each bracket.

Amerileagues Volleyball Tournament

Amerileagues will be hosting a girls volleyball tournament for 3rd-6th grades and skill levels on August 26-27.  This tournament will feature teams from our league as well as the Cincinnati Premier Youth Volleyball league.

  5. Open to all girls teams and levels grades 3-6

2023-24 Season Timelines

Thank you to all our member parishes/schools for putting together your wish lists regarding Girls Volleyball & Basketball timelines for 2023-24 season. 32 member parishes/schools cast their ranking vote. This vote had an overwhelming majority supporting the Girls Basketball season starting and finishing earlier than the Boys season. We can visit again next year and continue to try to grow both sports participation.

Changes for Girls Basketball

Based on a recent league vote, there will be some changes for the 2022-23 girls basketball season. Due to declining numbers, the GCCYS wants to be proactive and provide fewer obstacles for girls who want to play basketball but also play another sport.  The hope is that these changes result in increased numbers for girls basketball.

Here are the changes for the upcoming season:

  1. The girls season will begin the first weekend in November and will take place on the following weekends:  11/5, 11/12, 11/19, 12/3 (boys start at this time), 12/10, 12/17, 1/7
  2. The girls tournament will take place from January 12-15
  3. Instead of separate 5th and 6th grade divisions, there will now be a combined 5th/6th grade division and will be referred to as the "reserve" division.  Levels of play offered will be levels 1, 2, 3, 4, and 5.  Level 5 is recreational and we are adding level 4 back in for girls since the size of the division should be twice as large.  Parishes/schools can choose how they want to build the combined grade teams, but they need to register them in the appropriate skill level.
  4. Instead of separate 7th and 8th grade divisions, there will now be a combined 7th/8th grade division and will be referred to as the "varsity" division.  Levels of play offered will be levels 1, 2, 3, 4, and 5.  Level 5 is recreational and we are adding level 4 back in for girls since the size of the division should be twice as large.  Parishes/schools can choose how they want to build the combined grade teams, but they need to register them in the appropriate skill level.

A season timeline can be found on the girls basketball page.  Please note that in order to start earlier, teams must be registered earlier so parishes/schools need to pay close attention to the timelines and hold tryouts/evaluations (if applicable) earlier than in past seasons.

Girls Volleyball Tournament - Tentative Gym Schedule

Updated on 10/3: The girls volleyball tournament (October 10-13) is fast approaching and we have put together a list of preliminary site assignments for the tournament.  Please note that when a time is listed such as 5:30-8:30, that means the first game starts at 5:30pm and the last game starts at 7:30pm, meaning that we hope the last game ends by 8:30pm.  All teams will be seeded and assigned to brackets beginning late on Sunday and the schedule will be out by noon on Tuesday at the latest.  All first round matches (for brackets greater than 8 teams), will be played mostly on Friday with a few Thursday matches.  Quarter-final and semi-final matches on Saturday, and championship matches on Sunday.

Amerileagues Holiday Tournament

  3. Registration deadline is December 20th
  4. 3 game guarantee (pool play + bracket play)

  6. $100 registration fee per team + ref fees

Girls Volleyball

Here is some information about the fall girls volleyball season:

  1. Team registration opens on July 15th and runs through the end of July
  2. The season will begin on the weekend of August 24th
  3. Matches WILL NOT be played on Labor Day weekend
  4. The season-ending tournament will take place from October 10-13

  7. A reminder that the league voted in the spring that 5th grade teams in all sports will be put together by levels (the same as 6th-8th grade teams)

Basketball Tournament Info

Here is some information about the upcoming basketball tournaments.  A tentative gym usage schedule will be sent to all member organizations by Monday, January 31st.  This won't be final, but will give all parishes/schools information to start planning.

Girls Tournament

  1. All games will be played on Feb 10-13
  2. NEW this year ... Bracket assignment and seeding will take place beginning at 8pm on Sunday, February 6th.  Please have all scores reported!
  3. Schedule will be released on Tuesday, Feb 8
  4. For 3rd-5th graders, top bracket of 12 teams, other brackets will be 8-10 teams depending on number of teams playing in that grade.  More info to come on 6th-8th grade brackets
  5. Championship games will not start any later than 4pm on Super Bowl Sunday and must be played as scheduled

 

Boys 3rd-4th Tournament

  1. All games will be played on Feb 9-13
  2. Bracket assignment and seeding will take place beginning at 8pm on Sunday, February 6th.  Please have all scores reported!
  3. Schedule will be released on Tuesday, Feb 8
  4. Top bracket of 16 teams, other brackets will be 8-12 teams depending on number of teams playing in that grade
  5. Opening round matches for large brackets will take place on Wednesday, Thursday, and Friday
  6. Championship games will not start any later than 4pm on Super Bowl Sunday and must be played as scheduled

 

Boys 5th-8th Tournament

  1. All games will be played on Feb 17-20
  2. Bracket assignment and seeding will take place beginning on Tuesday, February 8th after the schedule has been released for the first tournament weekend.  Please have all scores reported!
  3. Schedule will be released on Friday, Feb 11

Girls Volleyball Tournament Information

Planning is underway for the season-ending tournament that will take place from Thursday, October 10th through Sunday, October 13th.

  1. All tournament games will be played in parish gyms.  We hope to have a preliminary schedule of gym usage available to all parishes/schools by September 26th.  This schedule might change slightly after we release it but it will give parishes/schools the ability to plan their gym staffing for the tournament.
  2. All teams in 3rd-5th grade will be split into tournament brackets based on regular season record across all pods.
  3. As with regular season games, each coach will need to pay the referee $13 (top 2 brackets in 6th-8th grade will have two referees so each team pays a total of $26), both teams should provide a lines person, and the "home team" should work the scoreboard.  The home team is always the higher seed.
  4. The schedule will be released on Thursday evening, October 3rd as we will base the bracket assignments and seedings on all regular season results through five weeks of the regular season.
  5. Once the schedule is released we CANNOT change it.  We have such a small window for these games, there can be absolutely no changes.  If a team cannot make it, they will need to forfeit the match.
  6. If your team will NOT be participating in the tournament, coaches or coordinators please email the league no later than September 26th!

A reminder that registration for the girls basketball season closes on October 7th and boys on October 18th. At that time, all team registrations must be in along with gym availability and schedule conflicts for the upcoming season. We will begin approving teams when registration is closed and they will show up on the Standings page when this happens. In addition, coaches will receive emails to claim their accounts. Coordinators, please make sure you put in the correct email address for your coaches when registering your teams. During the registration process, coordinators can view their teams under the Registered Teams section on their Coordinator Portal.

Boys Volleyball Tournament Preliminary Gym Assignments

The boys volleyball tournament is fast approaching and we have put together a list of preliminary site assignments for the tournament.  These will be emailed to all parishes/schools on 4/15.  Please note that when a time is listed such as 6pm-9, that means the first game starts at 6pm and the last game starts at 8pm, meaning that we hope the last game ends by 9pm.  Most parishes/schools hosting Wednesday or Thursday matches will be hosting championship games.  Those hosting championship games will be notified in a separate email.  Trophies will be available for pickup at All Saints on April 29/30.

Game Reschedules

Coordinators and coaches, please read to familiarize yourself with the policy.  Thanks.

Postponing

  1. Games will be postponed due to illness, school event, or gym closure.  If a game cannot be played due to any other reason, it is considered a forfeit.  PLEASE DO NOT EMAIL THE LEAGUE REQUESTING A RESCHEDULE BECAUSE PARENTS ARE CHOOSING TO TRAVEL OR CHOOSING TO PLAY IN A LACROSSE TOURNAMENT, etc ...
  2. Coordinators, not coaches, should contact the league as soon as they are aware of a legitimate reason to postpone the game
  3. The league will attempt to fill any gaps in the schedule at the gym by moving the first or last game of the day into that gym slot if the postponement is communicated to the league before 8pm on Tuesday for Friday games, 8pm on Wednesday for Saturday and Sunday games.  Please note that if the gap is in the middle of the day for a gym with a large amount of games, we will most likely not fill the gap as we don't want to reschedule a game by 5 hours with only 2 days notice

Rescheduling

  1. The coordinator of the team that postponed the game should get in touch with the coordinator of the opposing team to work out a reschedule
  2. Reschedules must be communicated to the league before Wednesday at 8pm for games that upcoming weekend (8pm on Tuesday night for Friday night games)
  3. Games must be rescheduled adjacent to an existing set of games. 
  4. Games can be rescheduled during the week if a time during the weekend does not work out for both teams (Monday and Wednesday nights are preferable) if at least two games are played that evening and must be communicated to the league at least 3 days before the game.

Basketball Season Schedule Released

The full schedule for the 2024-5 boys basketball season and the December and January schedule for the girls season has now been released (11/22 at 5pm) and is available for viewing from the Schedule menu and all portals.  This schedule should be considered "frozen".  Any comments or questions about the schedule should be directed to parish/school coordinators at this point.  Thank you to all parish and school coordinators that participated in the schedule review process.

Parents should continue to fill out Liability Waivers (your player absolutely cannot play until a waiver has been filled out correct on our web site).

Basketball Season Schedules Now Available

The full season schedule for girls and boys basketball is now available (11/17 8pm).  These schedules were reviewed by the coordinators from each parish/school and feedback was provided to the league before the schedule was finalized.  Thank you to all coordinators for their feedback, almost all of which was incorporated into the schedule.

Schedules can be found in a variety of formats from the Schedule menu (by Team, by Date, by Gym).  If you are a coach, you can also view a pre-filtered version of the schedule which only shows your team from your Coach Portal.  Others who created an account on the web site and subscribed to a team or teams, can view those schedules on their Subscriber Portal.

It is important to note that now that the schedule is live, making changes to it will be very difficult.  Any feedback a coach might have with the schedule should be directed to their parish/school coordinator and not the league.  League coordinators are instructed to inform the league of any issues that might arise with the schedule and to work with the league and the coordinator of their opponent on reschedules.  The league will ignore any direct requests from coaches to reschedule or cancel matches.

Lindsay's Law

The Ohio Department of Health has announced new legislation referred to as Lindsay's Law which addresses Sudden Cardiac Arrest in youth athletes.  The law went into effect on August 1, 2017.  GCCYS sent an email to all parishes during the week of August 1st to provide guidance regarding how this should be implemented for our member coaches, athletes, and parents.  You can read more about Lindsay's Law on the Ohio Department of Health web site:   READ ABOUT LINDSAY'S LAW

Girls Volleyball Tournament Info

REPORT YOUR TOURNAMENT SCORES IN A TIMELY MANNER.  Teams are advanced through the tournament based on a score being reported.  Good luck to all teams!

Here are a few notes about the tournament:

  1. Seeding and bracket assignment were done mostly by winning percentage.  These are based on regular season results that were reported as of 9pm on Sunday, October 6th.  Any scores reported or changed after that time may NOT taken into consideration.
  2. Forfeits wins/losses are generally not taken into consideration when seeding as they don't provide helpful information to determine strength of a team.
  3. Some seeds were slightly altered to avoid intra-parish matchups or first round matchups between teams in the same zone (for 3rd-4th grades)
  4. Teams should pay the referee in the same way they do during the regular season.
  5. Coordinators, please check your gym schedule.  Some changes have been made since the preliminary gym assignments were shared last week.
  6. All Sunday games are championship matches.  Parishes hosting those games should plan on picking up trophies at All Saints starting on Thursday of tournament week.

This physical bracket will show the teams as they advance through the tournament (scores must be logged to advance the teams on the bracket) and will also show the scores of completed games.  Please note that this is not a responsive bracket and while you can view it from a mobile device, it is best viewed from a computer or tablet.  Horizontal and vertical scroll bars are available to help you view the entire bracket.

There is also a way to easily locate the bracket your team is playing in by clicking on the Find My Bracket link, enter the last name of your coach or your entire team name, and a listing of teams in your bracket will appear along with their seeding and record.  You can then easily click on the bracket name to display the physical bracket.

Game Day

Inclement Weather Policy

As the GCCYS is informed of gym closings by parish/school coordinators (they can do this via the contact form or by contacting Amerileagues or GCCYS commissioners directly), this information will be shared on the front page of the web site. In addition, games will be marked as postponed or cancelled which will trigger email and SMS text notifications to those that subscribe to Game Status Change notifications for teams affected. If we have a very large weather event, the web site might be put into maintenance mode in order to handle traffic. If this is the case, listings of closed gyms will appear.

GCCYS Policy: Games/matches may be postponed due to extreme inclement weather where the safety of the coaches, players and spectators are at risk. It will be the responsibility of the parish/school site representative and coordinator, at the hosting school, to make the decision regarding the closing of their facility. The coordinator must provide notification to GCCYS a minimum of 90 minutes prior to the start of a game/match. All subsequent games/matches will be cancelled except in cases where it may be possible to re-open later in the day. If a host team's gym is open but the visiting team decides not to participate it will result in a forfeit. Request for postponement and reschedule will be accepted from coordinators only. As always, every person/family is in charge of their own safety. If you feel uncomfortable driving, then don't.

Coaches - Score Reporting

Just a quick word about score reporting. The coach of the winning team is responsible for reporting the score of the game within 48 hours of the game being played.  Coaches can access score reporting from several places:

  1. There is a Report Scores menu option on the Portals->Coach menu
  2. On your Coach Portal, games that need scores to be reported will be shown in the upper right hand corner of the portal
  3. In the My Team Schedule section of your Coach Portal, you can report scores for games AND correct scores that were entered in error for up to 14 days after the game has been played
  4. You can edit your account and subscribe to Score Reporting Notifications.  You will receive an email during your game with a link to the score reporting form

Please note that you must have an account with coach level access in order to access a Coach Portal or subscribe to the Score Reporting Reminder notification. Accounts were created for all coaches based on the email address your coordinator used to register your team (in some cases your coordinator used a different email address than the coach was expecting OR mis-spelled the email address). IF YOU CREATED YOUR OWN ACCOUNT, you most likely do not have coach level access unless you discussed this with the league. Game scores can be edited up to 14 days after your game (via the My Team Schedule section of your Coach Portal OR by resubmitting the score reporting form that was emailed to you if you subscribe to that notification) in case they have been reported incorrectly. If you are the coach of the losing team and the score has not been logged after 3 days, please help us out and log the score yourself. Thanks!

Coach Accounts

In early August all teams for volleyball season were set to "Approved" status which triggers the creation of web site account for coaches (or an update to your existing account). If you received an email from the web site with account information but did not reply within 24 hours OR you never received an email, you need to claim your account. To do so, please request a new password by navigating to the Password Reset Page and enter the email address that your coordinator gave the league.

If you are not sure which email address this is, then go to the Teams Page on the Organization menu and look for the email address associated with your team. When you request a new password, if the system does not recognize your email address or you never receive a subsequent email (it should happen within 30 minutes), please Contact Us and we will get it sorted out. Thanks!

Game Change Notifications

Now that the initial schedule has been frozen for the fall leagues, we are going to activate game change notifications. From this point forward when a scheduled game has a change in location, a change in game time, or either of the two teams are changed, you can receive an email or SMS text message notification. In addition, when a new game is added to the schedule or a game is removed from the schedule, canceled, or postponed, you will also receive a notification

In order to receive notifications, you must have a user account on the web site. Simply choose the organization you are associated with and then choose the teams you want to follow (up to 5). You can then choose the types of notifications you would like to receive. Please make sure you enter a valid email address and if you want to receive SMS text message notifications that you enter a valid phone number including area code

A quick note about game statuses. A game starts out as "scheduled" and then when the game has been completed it will change to "completed" or "forfeited" if one of the teams does not show up. If one of the teams cannot make the scheduled game but the game will be rescheduled, it will be placed in "postponed" status. If the location or time of a game is changed, the status of the game will be changed to "rescheduled".

Account registration is now open for those that want to follow and subscribe to teams. To register, please click on the Register link in the upper left corner of the web site. You will be asked to choose a user name, password, and enter your first and last names and email address. Choose the organization you are affiliated with and then one of more teams (winter league teams will not be available until late October/mid November) from the parish/school that you want to follow. You can also choose to subscribe to a number of different email and text message notifications.

Once you have created your account, you can login to the web site and will now notice a Portals menu which has a Subscriber option. By choosing that option, you will see your own personal portal with information about the teams you are following. PLEASE NOTE ... that coaches and coordinators have accounts with higher level access created for them. Coaches and coordinators CAN create their own account if they like, but PLEASE USE THE EMAIL ADDRESS that your school/parish supplied to the league. Coordinator or coach privileges will be added to your account after your organization contact information or team information has been communicated to the league.

Regular account holders can choose to subscribe to the following types of notifications:

  1. Game Change Notifications - receive an email or text message any time a scheduled game is changed (new location or time), added, or removed from the schedule.
  2. League Announcements - receive an email of any league wide announcements that are published on the web site.
  3. Score Reporting Reminder - Coaches can choose to receive an email with a link to the score reporting form which will be sent during the game.

NFHS Concussion Training

ALL HEAD COACHES AND ASSISTANT COACHES must complete the NFHS Concussion Training course before their first game. As a head coach, after you have completed the free, on-line training course on the NFHS web site, you can edit your coach account (after it has been created for you) on the GCCYS web site and specify the course completion date. This training is valid for up to 3 years upon completion of the course so if you have already completed the course in the past 3 years, you should simply enter your course completion date. In order to take the course, you must first register yourself and create an account on the NFHS web site. You will then be able to take the course.

Please note that it is the obligation of the parish/school to make sure everyone for their program is trained and in compliance with the Ohio state law.
